A team agreement (or team contract) is a written document detailing how a team can work together. Team agreements can describe procedures such as decision-making, chance and the tools and communication methods used by the team. Next, we look in detail at the team agreement protocols that are particularly important for remote teams. We certainly advise you to take the time to formulate these agreements, as they can create a more open and free space for the people you are with in a virtual community. For team agreements to work, they require a buy-in from all team members and should be written collectively as such, not by management or management. Team agreements are also iterative – they are living documents that should be adapted when the team learns to work better together. This is particularly difficult for virtual teams when communication is often done via e-mail or through collaborative tools. Make sure that really sensitive conversations are made over the phone or in person. Each comes from different experiences and contexts, so some people have knowledge about certain things that others don`t. It makes people vulnerable in shared spaces. The definition of agreements can protect team members, promote borders and create a space for growth.

If you have your group agreement, make sure it`s displayed for everyone – ideally, have it written on a whiteboard, paperboard or overhead projector. Phil Montero, founder of The Anywhere Office, introduced me to a system he developed to create team agreements: the ICC Workflow. The idea is to divide the work into three categories (information, communication and cooperation) and to discuss the hypotheses relating to these categories. A work agreement can even serve the needs of a spontaneous and/or ephemeral group. They must also explicitly define how the team handles offences and hold each other accountable. A work agreement is a common set of expectations that a team creates to understand how it will work together and interact. For many teams, this is a valuable advantage. However, the teamwork agreement becomes even more critical when team members work remotely.

Depending on the team or the work phase, work agreements may vary and should be modified to reflect changes in the nature of the work or work environment. It should also be reviewed regularly and updated on the basis of learning. Other ways to establish group agreements may be more appropriate for shorter meetings or workshops or for groups that do not deal with emotional or controversial topics. This implies that not all parts are the same, so make sure you make your contract writing process a collaborative process. This will allow people to offer agreements that could only be proposed on their own. It is normal for an agreement to apply to one or a small number of people; this gives room for under-represented people to feel heard and welcome. For groups working together over a long period of time, it may be worth spending a little more time developing a longer-term group agreement.
